How to keep data fields an graphs together when sharing presentati

When I create a graphic chart in PowerPoint and then send it for comments to
other parties thru e-mail, they can't edit the data fields. PowerPoint gives
the error that can't find the data. How can I keep the worksheets attached
presentation slides?

And... how can I fix the problem on slides already made?

Hi again, and thanks.

I'm using PowerPoint 2007. To create a graph on a new slide, I click on the
graph icon and then pick the kind of chart I want, and enter the data on the
worksheet (the one that gets lost when sharing files). Sometimes when a chart
is similar to one already made I use copy/paste, and then alter the data on
it.

That method should include the data in the presentation. However, that
depends on which version of PPT your recipients are using. Are they on PPT
2003?

Ok... The error reads: "The linked file is not available. Use the edit links
command to find file." We both have PowerPoint 2007, and we both have the
same problem. I have the problem when he sends me charts, and vice versa. We
are both saving the files as pptx.

Thank you so much!

OK, thanks, Margie. It sure sounds as though at least one chart or other object is
linked rather than embedded. Try this:

Open one of these files
Choose: Office Button | Prepare | Edit Links to Files

If the Edit Links to Files item is there at all, it means that you've got at least one
linked, rather than embedded, object in your presentation. The resulting dialog will
list any linked worksheet, chart or other objects.

If that doesn't give you enough info to track down the specific objects that are
linked, you could install a copy of our free FixLinks demo.

http://www.pptools.com/fixlinks/

The free demo never expires and will generate a links report that lists each linked
object and the slide it's on. The GoTo button will take you to that slide and select
the shape for you.

Once you've found the linked shape, you can sometimes doubleclick to activate it
(you'll have to do this on the source machine where the linked file is still
available). When it's activated, select the info you need, copy, and paste it into
your slide again, this time making sure NOT to choose Paste Special, Link.
