Have too many phone numbers, how can I set up smartphone to only .

Contact management question: New (windows) smartphone will take all 2000-plus
contacts in outlook, but that makes it impossible to look anyone up on a
phone keypad. Activsync is cool, but takes every name in outlook, wont
distinguish categories. How do I keep the 2000 in outlook and end up with 200
on phone?
