email notification

1- Is there a way to get notified of emails even if outlook is closed or we
have to have it open in the minimize.

2- any option for other sounds for that notification

1) If Outlook isn't open it can't check e-mail let alone notify you. So yes,
you must keep Outlook open, minimized is fine. Another way to go would be to
use a third party tool that only polls the mailserver for new mail and have
that notify you instead.

2) Control Panel-> Sounds and Audio Devices-> tab Sounds-> New Mail
