Can't Copy My Notes

K

Keith Russell

Hi, everyone. I posted this question earlier with the subject
"Copy Here as Note With Text," thinking that the wording would
be meaningful to the experts. Apparently it wasn't, so I'm trying
again. I apologize for the repetition. (I am also cross-posting
to microsoft.public.outlook this time, in case someone there
knows the answer.)

I want to merge two .pst files by copying my contacts and
notes from one to the other.

I was able to move the contacts just fine. However, when I try to
copy items from one Notes folder to the other, I get the message
"Copy Here as Note with Text," and it wants to create a single
note from my 226 items. I don't want a single note; I want the
original 226 distinct notes.

I was able to copy the Notes folder to the new file and it
created a new folder called Notes1. I thought maybe I could solve
my problem by deleting the Notes folder and renaming Notes1 to
Notes, or by renaming both folders. However, I am not allowed to
either delete or rename the Notes folder.

Can anyone tell me how I can get my 226 notes into a Notes folder
in the new file without having to copy them one by one?

Thanks!

It seems like the Notes folder you are trying toput them into is NOT a Notes
folder.
Can you check the icon beside the folder (using Folder List) is it a Notes
folder?

Were both Notes folders created in the same version of Outlook?

Have you tried making a new Notes folder again and seeing if it will accept
the Notes?

Lastly but not least - what version of Outlook?

Thanks VERY much for the reply, Judy.

It absolutely is a Notes folder. The structure in the folder list
for the two .pst files is identical. In fact, I can create a new
notes folder in the same file named Notes1 (indicating that it
will contain notes) and try to copy all the notes from Notes to
Notes1, and I get the same thing.

When I dragged the Notes folder onto the top-level "Personal
Folders File," it created a new Notes1 child folder containing
all my notes. My only problem is that I want the name of the
folder to be Notes, not Notes1. The way it is now I am forced to
have both Notes and Notes1, even if I never use the Notes folder.
Were both Notes folders created in the same version of Outlook?

Yes--and see above.

See above.

I'm embarrassed that I didn't mention that in my initial post.
It's Outlook 2003, running on a 64-bit Vista Ultimate PC.

Thanks again.

FWIW....

I've done some more testing and have a little more information.

It appears that there is a limit to the number of notes you can
copy into another folder without their being combined into a
single note. On one occasion, I was able to copy 10 notes; the
next time, it wouldn't accept 10 and I was able to copy only
9--so it appears that it may be size related.

So if all else fails, I guess I don't need to copy them one at a
time; I can maybe copy 7 or 8 at a time and be OK.

Strange behaviour. Keep going with your workaround. I hope you get all the
way to the end with it still letting you move them.

The destination folder would have to be a Notes folder if you receive the
option "copy here as Note with text".
It would be the SOURCE folder that is suspect if you receive that message.
I can't replicate your problem. I can copy all Notes fine from one PST to
another and within Notes Folders in the same PST. The Right-click drag and
drop option only gives Copy, Move and Cancel as the option.
Can you copy bulk Notes to another Notes folder ok?
If you have Copied the Notes folder to Notes1 you might be able to then bulk
copy from Notes1 to Notes.
Check the folder properties of your Notes folder you want to copy *from*
make sure that, in the General tab, it says "when posting to this folder use
IPM.StickyNote" (you usually can't change it anyway)..

Very strange. I get only "Copy Here as Note With Text" and
"Cancel".

No, I created another notes folder in the same file (Notes1), and
I can't copy to it, either.

It does....

Are you using Outlook 2003, as well?
