Address Book Name Sort

G

Guest

I needed to find out why some of the names in my address book are appearing
first name, last name and why some are appearing last name, first name with
no rhyme or reason. All names are in contacts to be filed as last name,
first name. Is there a way to correct this? It also happens when I print
labels, etc, some are last name, first name and some are first name, last
name. Any help would be appreciated, thanks!

First you must provide some actual information. Outlook version and the sort
order specified for the address book would be a minimum.

Okay, well it's Outlook 2007, but I was having the same problem with Outlook
XP(03). Also, I didn't know you could specify a sort order for the Address
Book (From the Outlook Help...Names in the Address Book dialog box always
appear in alphabetical order. You cannot change this order.), I did specify
the Contacts be sorted Last name, First name. Once again, any help would be
appreciated, thanks for your interest in helping.

I suspect that you entered some manually and imported others. If so, the
imported ones are probably the ones that appear First Last.

I f I may weigh in to this, I recently upgraded from Outlook 2003 Standard to
Outlook 2007 with Business Contact Manager. Somehow, during the ttransfer of
the pst. files, I went from an address book that displayed all names as last,
first; to a mishmash of last, first, first, last. I went into Contacts and
changed all "Display As" entries that needed to be put back into the last,
first format but this did not fix the address book!.

Specify the sort order for the Address Book here:
Tools > Accounts >Address Book Tab > Outlook Address Book > Change...

news://msnews.microsoft.com/microsoft.public.windows.vista.mail is the
correct group for this question.

Thanks. You might also mention that you must exit and restart Outlook for
this to work.

I have had the same issue with Outlook 2003 running on Exchange 2003. I'm not
sure if this is exactly what is happening with Nicole but the contacts
themselves are find it is when you click the TO button on a new message and
the Select Name dialog box appears.

The names are displayed in any order firstname first lastname first and
searching sometimes does not work. Sometimes entering the first few
characters in the search will list the ones that match the search characters
whether first name or last name but others that should display as well do
not. I tested with just four contacts and two will highlight no matter is I
search by first or last name it finds the matching characters and highlight
the proper contact, the other two will not highlight at all when entering the
first few characters of the last name but will with the first. All contacts
were entered manually.

I have been trying to find a solution to this for months and it is driving
me and my CEO crazy.

Again I'm not sure if this is what Nicole is describing but I think this is
the area with the problem there doesn’t seem to be issues anywhere else

Any help with this would be appreciated to help keep my sanity.

Like others I am having the same problem with name sorting in Outlook
2007. Even with all the settings correct (Last Name, First Name)
every new contact I add shows up properly EXCEPT in when trying to
select a name in the TO drop down list. No parameters I change nor
variance in the way I add a new contact matters. The only correct
ones are those I imported cleanly from my smart phone. This must be
pretty universal as a friend of mine at a different company is having
the same problem. The MS web site is no help

Having same problem with TO: list sorted by first name even after
respecifying last name in the directory, opening and closing Outlook etc.
Happened after I converted by Outlook 2000 to Outlook 2003

Explain what you mean by "respecifying last name in the directory." There is
no such option.

To clarify, I went to view/change existing address books and confirmed the
setting for sorting was by "Last Name". for the Personal Address book I am
using as a contacts folder

Note the address book that OL 2003 is using is a "Personal Address Book"
located at C:\Documents and Settings\Owner\Local Settings\Application
Data\Microsoft\Outlook\mailbox.PAB.

There is another address book listed when viewing Existing address books
called the "Outlook Address Book" if I select it rather than Contacts when
attempting to get addresses for a new email it is empty.

If I attempt to "change" the "Outlook Address Book" at Email
accounts->Change existing Address Books a window pops up and tells me that to
use a a Contacts folder as an address book I must first designate the
Contacts folder as an "Address book"

So 2 questions. Is there a different place to change name sorting
properties for Contact Folders designated as Personal Address books? If I
should be using the Outlook address book, how do I set it up and get my
contacts over to it?

Not sure how to switch to the "Outlook Address Book" and transfer all my
contacts there? the root cause of the problem but don't known what to do
about it. After upgrading to OL 2003 I have 2 sets of Personal Folders. My
email account points to the Personal Folders that OL 2003 created when it
updated my outlook version. I confirmed that the email account points to
this set of Personal folders. The Outlook Address book is empty and the
Address book contacts is using is located at C:\Documents and
Settings\Owner\Local Settings\Application Data\Microsoft\Outlook\mailbox.PAB.
This contact list has been designated as an "Outlook Address Book" in its
properties.

Personal Address Books can't be used as Contacts Folders. They're
completely different entities. PABs have been obsolete for years and you
should use them.
Note the address book that OL 2003 is using is a "Personal Address
Book" located at C:\Documents and Settings\Owner\Local
Settings\Application Data\Microsoft\Outlook\mailbox.PAB.

There is another address book listed when viewing Existing address
books called the "Outlook Address Book" if I select it rather than
Contacts when attempting to get addresses for a new email it is empty.

All that means is that if you have a Contacts folder and it contains
contacts with electronic addresses, that you haven't enabled it as an
address book so that it shows up in the Outlook Address Book service. How
to do that is documentewd often in these newsgroups and in the Microsoft
Knowledgebase.
If I attempt to "change" the "Outlook Address Book" at Email
accounts->Change existing Address Books a window pops up and tells me
that to use a a Contacts folder as an address book I must first

Again, you can't "designate" contacts folders to be PABs.
If I should be using the Outlook address book, how do I set it up and
get my contacts over to it?

Look in the MSKB or search the MS Outlook newsgroups in Google Groups. It
will take about 15 seconds to locate your answer.

That should read "shouldn't use them".
