2 kinds of "paste special"???

I have to copy many separate records from a very large excel file and
pasted them into various places in another large excel file which is
already formatted - So I use "paste special".

I have done this before, selecting "value" from the options to maintain
my formatting. Other options are paste special "formula" etc.

But for some reason, this time when I go to paste, instead of getting
the "paste special" box with the option "value", I get a different
"paste special" box with options like "Biff5", HTML etc. I can select
"unicode text" which maintains my formatting, but it takes several
extra key strokes - which add up when you have to do this hundreds of
times! Is there something I can change in the format of the two files
to make them compatible?

If they are opened in different instances of excel or if one is embedded in
another application you will get this behavior. If the two workbooks are
open in the same instance of Excel, it should work the way you expect.

Since you say that you do this hundreds of times, how about adding a
"PasteSpecialValues" icon to your tool bar.
That should save you a great many keystrokes for a much quicker and easier
utilization of the feature ?

Right click in the toolbar and choose "Customize",
Click on the "Commands" tab,
In the Categories window, click <Edit>,
In the Commands window, scroll down to the
"PasteValues" icon, then click and drag it to the toolbar.
