Word 2003 - Track Changes Issue?

I'm having multiple users tell that when they receive documents from outside people, clients and vendors, that they show editing changes in them like the sender intentionally wanted them to see and track changes. The most recent one even came through protected like that. They all tell me there is no way these people would do this intentionally, so is there a glitch in 2003 that shows this stuff from documents created in older versions or something?

For many years, people have had security problems with Track Changes. It is
very easy in earlier versions of Word to create a document that contains
tracked changes, but choose not to *see* those changes. So people have been
sending documents to one another that contain tracked changes. Unless you
explicitly chose to see them, they were hidden. But they were there. And
they might contain information that was embarrassing at best, and
commercially disastrous at worst.

Exactly. The people sending you the documents may not have chosen to view
their own tracked changes. So they don't know what information they're
sending to you.

To address that security problem, Word 2003, by default, shows all tracked
changes when it opens a document. This is to help prevent you from sending
documents outside your organization that might contain information you don't
want others to see.

When your users get a document like this, they have two main choices:
1. Use the Reviewing toolbar and choose to display the "Final" version. This
won't remove the tracked changes; but it will hide them.

2. Use the Reviewing toolbar to accept all tracked changes in the document.
This will remove all the old material, leaving only the final version. Save
the document to make the change permanent.

You can tell Word not to display tracked changes when you open a document by
using Tools > Options > Security. You can also remove the battery from the
smoke alarm in your house, and cut the wire leading to the speedo in the
car<g>.

thanks for the quick response! I have one user that is concerned that per your posting others would be able to view our tracked changes even if accepted by us first

Would that be the case?
 
If you have accepted or rejected all changes, they should not be visible.

Accept or reject all the changes, delete all the comments (in a copy if
necessary).
