I have a document that has been edited by a number of different users
(external and internal) with all changes highlighted using track changes. I
want to email the document to someone but do not want them to see the
different users who have edited the document (even when they have screen tips
checked in view). Is there a way this can be done?

Hi Jules

No, that's not psosible. If you leave the tracked changes in the document,
then anyone can see who made the change and when. You can't edit that
information. Alternatively, if you accept or reject all the tracked changes,
then the tracked changes are removed from the document.

Hope this helps.

Hi Jules,

If it's just the names of the reviewers you want to change/hide, you can
save as HTML (or XML/WordProcessingML in Word2003), open the file as a text
file, and change the names of the reviewers (look for "cite=" in HTML, or
"aml:author=" in XML) to "Anonymous" or something like that.
You can do the same in RTF if you're more familiar with that format.

The names will be lost for good (or bad), though.

Regards,
Klaus

thanks, I'll give this a try.

If you have Word 2002 or Word 2003 then go to Tools/Options/Security
and turn on "Remove personal information on save". This will remove
the author names. Note the Tracked Changes and Comments will still be
present in the file however they will be referenced as "Author"
instead of the individual author names.

Hi Beth,

Oops, didn't know *that*. Thanks!
I thought the tracked changes would be removed altogether...

Regards,
Klaus

That's one I found the hard way since it's titled "Remove personal
information from file properties on save" in Word 2003 during the
beta. I thought it would remove file properties only - not all
Authors!

Oh well, at least I learned something I could pass on to someone else.

Klaus, Beth

I knew about Klaus's way, but I hadn't tested it enough to feel comfortable
about recommending it.

And I'd forgotten about Beth's way, but I'll now add it to my web page about
track changes.

Cheers

thanks Beth, we have Word 2000 at the moment and have used Klaus' way of
removing/changing the author names. When we upgrade again we will be able to
use the faster way. thanks.
