Protect Form Button

Hello

Someone has created a form as a template in our group. I
do not know if the document has been protected or not. But
when I hit the Protect Form Button on the tool bar or in
the menu it deletes any inputted information the user has
inserted and you can not edit any of the other fields that
were not deleted. I hope this makes sense. What I
understand is you can protect forms so the user can not
edit the form, but you can edit the form in any field
before you hit the protect button. And afterwards you can
only edit the form where users are inserting information.
I am confused. I thought it would be the other way around.

Hi McDaniel,

This depends somewhat on the version of Word you're working
with. sounds to me as if you have Word 97 or 2000? In this
case, the only way you can protect a document without losing
any form field information is by using a macro. There's a
macro for this in the Forms section of my website, if you're
interested.

Word forms are meant to be used like this:
- The basic document is set up. Form fields are inserted
where the user should perform data entry
- If more "free form" editing needs to be allowed,
section breaks are inserted and sections without form fields
are set to not be protected
- The document (or template, more likely) is then
protected as a form, and distributed.
- The user is expected to only enter data in form fields,
and unprotected sections. No editing in the sections
containing the form fields would be expected, or allowed

You can find more information at mousetrax.com and on the
word.mvps.org website. Note that, if you want to use form
fields only for data entry, but protecting the document is
not required / desired, then what you should probably have is
a UserForm to collect the data and put it into the document,
before turning the user loose on it. You'll also find
instructions for doing this on the word.mvps.org site.
