Printing Envelopes from "players lists".

At the law firm in which I work, we create “players lists†for each matter.
This Word document is the repository for any and all contact information for
any person involved in the matter. Then when letters are needed to be
written, a simply copy/paste into a letterhead template is all that is needed
to begin a letter. To print an envelope from the players list, normally all
I need to do is place the cursor at the end of the address by the zip code
and then select the Envelope and Labels icon for the envelope dialog box to
pop up and all I need to do is press print and I’m good to go.

My problem is I have a few addresses that when I place the cursor after the
zip code and click the Envelope icon; nothing appears in the address window.
So then I try highlighting the entire address, I have to do that sometimes
when the address is more than 5 lines anyway, but only the name appears in
the address window.

Any hints or suggestions on how to rectify the situation? Thanks!
 
You can change the size of the aperture on the envelope to cater for longer

As for what is picked up from the letter, this will depend on the way the
addresses are formatted in the document. To ensure that they are picked up
correctly, they should be formatted with the Inside Address or Normal
paragraph style. Check also whether the address is split by line breaks or
paragraphs. Manual formatting will be carried over to the envelope
over-riding the envelope settings.

Frankly you might find it simpler to use an envelope template and use the
same copy/paste method. It's simple to create an envelope template, or you
could start with one of the samples available for download from my web site.
