Hi,

Our users have pst files in our Outlook folders list.
These are not really archive files, they are personal folders that users
have carried over with them from a previous setup.

These pst files are being emptied during automatic archiving, which seems
normal, depending on the cut-off date specified in the Tools/Options etc.
The problem is that the contents are not being stored into the user's local
disk pst file specified in the autoarchive parameters. The mail from these
pst files is disappearing. At the end of the auto archive, the mail is
neither in the original pst nor in the target pst.


Any ideas please ?

Yes, I have scanned the hard disks (with show all hidden and system files)
for pst files.
I should perhaps be more precise.
The target pst *is* replicating the folder and sub-folder structure of the
source pst but these target folders are empty (whereas the source folders
contain messages).
So, we can deduce that the communcation between the source and the target is
operational but not behaving as I expected.

I find that the archiving is dysfunctional because I imagine that when
Outlook archives a pst it should apply my deault parameters, i.e. copy and
do not delete, archive stuff that is more than 6 months old... But when I
select a pst folder and choose to archive it, through Menu, File, Archive, I
see then that those default parameters (radio buttons) are set at "archive
this folder", and not at "archive using the default parameters". So maybe
the default parameters are being skipped ?
If that is the case, and I am having trouble understanding what is going on,
how can the users be expected to get it right ?

Archiving seems to be looked at as a way of removing clutter.
In some businesses that is probably perfect.
I find that my colleagues are always (often enough) trying to locate the
content of a message received 2 or 3 years ago, sent by either X, Y or Z in
Compay A, to Joan or Michael or maybe Alice if Joan was on maternity leave.
How can I be expected to find that if all these people are saving pst files
with their own specific settings on their local disks ?

I need to be able to set up some kind of master plan.
I see that there is an option concerning retention defined at the Exchange
level.
How does that work ?
Is there some way the Exchange admin can apply default parameters to all
Outlook clients ?

Is there a HowTo available somewhere ?

The File menu > Archive command always acts the way you describe so there's
no issue there. Check the properties for one of your folders and see if the
archive properties are different at the folder level than at the default
level.
