Thanks for this info.
Is there a fast way to reformat all my 5000 contacts fax
numbers and paste it into this field ?
Or is there another easier way i.e. by using word to
start the merge?
As to ensure that all my staff remember to add in this
info to this field correctly might not happen

Thnaks

Then you'd use the same instructions as for Outlook 2002, posted here:

There is no easy way to do any of this. It should now be apparent to you
that Windows XP Fax and Outlook were never intended to be full featured
products for faxing. The workaround I posted for fax merges is nothing short
of ridiculous. If you need to do fax merges to 5000 Contacts, you are way
beyond Microsoft's league and need to look at third party solutions.

Sorry, no. I haven't the time to sample third party fax offerings. I'm sure
the vendors who lurk here can offer some suggestions.

Outlook 2003 does have the ability to integrate with various Internet Fax
Services and these can be used for fax merges. The process is cumbersome,
but it can be done.
Just go to File > New > Internet Fax to see a list of services with which
you can integrate.
