Locking down Outlook 2002??

I have 5 users, using a single mailbox account, with varying degrees of
computer skill ranging from illiterate to competent.
However they are getting in a veritable stew creating folders, dupe naming,
locating folders in the deleted items area, shortcuts that point to the
wrong ones etc etc etc.
Is there a way of setting the correct configuration and then locking the
client down so that it can only be changed by a sane supervisor???
Any advice to help me keep what little hair I have left will be gratefully
received

Are you using Exchange?
Also; wouldn't they (and in the end you) benefit more if they attended an
Outlook course?

Hi Roady,
Yes we do have Exchange 5.5 hosted on NT4.0 server.
Certainly would love to get them on courses, however we are a Charity/Not
for Profit org with little £/$ spare for training - most has to be
on-the-job training by others in the org. IT Dept is just little ole me and
with 30 others to support don't get much time for niceties or even the
necessities!!!!

Hi Stan,

I know what you mean; I work for a non-profit organization myself as well.
Convincing that a course will pay itself back in just weeks is the trick
here. They can work more efficient and don't use your hours either because
of issues they cause ;-)

Anyway. If you are using Windows 2000 or above you can set group policies
which sets and locks down the options in Outlook you specify.
For the folder creation and deletion; set permissions on the folders so they
can't create/delete items (rightclick folder-> Properties-> tab Permissions)
For the shortcuts; configure them to use the Folder List instead of the
Outlook Bar. You can change this under View

I would combine this with a quick instructions session (you should be able
to finish that within an hour) so everyone knows what's going on and that
everyone works in the same manner. You'll get understanding from them as
well and it will surely reduce your support time spent to them.

Good Luck!

Hi Roady,
Thanks twice over - decided to take the bull by the horns or rather the CEO
by the seat of her pants and armed with your reply have now got them on a
Outlook awareness course and will also lock the system down (just in case).

Cheers for all
Stan

Good to hear and you're welcome! :-)
