General Setup of Folders

I am hoping to get some advice on using Outlook for all
my purposes.

I am currently only using 1 PST file to achieve the
following:

I have 3 businesses with different domains. Currently I
receive all mail from 3 different pop's into this. I then
use rules to move the applicable mail to the appropriate
sub-folder which has been assigned for each business
within the Inbox.

Problems I encounter is that all the sent mail is in 1
folder instead of it being segregated. I have no probs
with sending on the applicable domain as I just select
which account is sending the mail.

I would like to start managing my hotmail email in
outlook aswell. I know this can be achieved, but I am
just not sure if I am managing my PST file correctly.

Can someone please tell me if there is a better way.

Maybe I should have seperate Mail folders for each
business and hotmail account, but I don't think this will
fix the sent items problem.

Also I have close to 500 contacts in my contacts list. I
am concerned that should something ever happen to my PST
file (maybe corruption), then I will lose of of these.
Should I be managing these seperately so they can be
backed up? A problem I just encountered with this is when
I tried to sync my Nokia with my contacts it wanted to
copy them all across to my phone. I obviously don't need
all these contacts in my phone, but this is not a
Microsoft problem but rather Nokia. It would have been
nice if I could have selected the contacts that I would
like to always be synced with my phone.

I hope someone can help with these basics.

There is a backup pst add in you can get from Microsoft
for free which I have and its really good. The other
thing to do is maybe have your contacts in a sep PST and
then just make sure you save this somewhere else every
now and again?

Thanks a lot for this.

My server is backed up regularly so I don't have too many
probs with that happening, but it is just the size of it
which is worrying...
Do you think that I should have a seperate PST/mail
folder for each business and for each hotmail account?
but just manage them in the single outlook profile? or
should I create numerous profiles?

I like your advice with the contacts, but how do I move
them to be in a seperate PST file?

go to file and new and pick OUtlook Data File pst - call
is Contacts or something. It will appear on the right of
your screen adn you can just drag all of your contacts to
it.

I would have sep pst for all accounts - they are easy to
manage

I don't have the option of a Outlook Data File PST.

I am using Outlook 2003 small bus. edition.

I have the option of an Office Outlook Personal Folders
File or Business Contact Manager Database.

Would it be the latter that I am after?

I think I am going to set up sep pst files for all
accounts, but how do you recommend to manage the sent
items considering there is only 1 sent items folder?
