Hoping someone can explain something to me

I'm making a series of presentations which will be circulated on a cd-rom.

Ideally I would like to save the files so that all their content is bundled
into the one file for the presentation which I thought could be done by
saving as a show .pps.
I now know that mp3 files will not be embedded so I need to use wav files
instead.

What about pictures? Ive read about linking and/or embedding files but I'm
not sure how I select embed instead of link

The reason I ask this is that the .ppt file appears to be 3.4mb in size but
the .pps is only 645k which makes me think the pictures are linked

am I doing this right?

There is no difference between .PPS and .PPT other than the ending letter and
the fact that when you click on a .PPS file Windows tells PowerPoint to open it
in Show mode.

So, the files should be the same size unless (my guess) you saved the .PPT file
as PowerPoint 97-2003 & 95 Presentation (*.ppt). Notice the 95? PowerPoint 95
didn't compress files at all well, so by choosing that format you've allowed
your file to be significantly bloated unnecessarily. Additionally, if you have
Fast Saves turned on, you'll want to turn it off and save your file with a new
name to get rid of the bloat that it adds.

There isn't much benefit to embedding if you are going to distribute on a CD.
There is a good reason not to convert MP3 files to WAVs. An MP3 file that is
3.5 MB in size will become a 35-40 MB WAV file. Now, CDs have plenty of room
for large files, but remember that PowerPoint has to read in all those bytes
whether the file is embedded or linked. CD drives are much slower than hard
drives, so the bottom line is the less you give the system to read, the faster
it will get read.

Linking isn't all that hard. Just put everything in a single folder *BEFORE*
you create any links or insert the MP3s. Pictures/Images are the exception. I
vote for embedding them and they will be embedded unless you specifically tell
PowerPoint to link them.

The Link option is pretty well hidden. Unless you specifically choose it,
images will be embedded when you use Insert, Picture, From File.

My guess is that you've not yet turned Fast Saves off in Tools, Options, so
your PPT hasn't been purged of accumulated junk, where saving as PPS would have
cleaned things out a bit.

PPT files and PPS files are identical except for one thing: PPT files have a
file extension that ends in "T" where PPS files have a file extension that ends
in "S".

That's it.

No kidding.

I saved the ppt again witha different name and unchecked Allow fast saves
and the resulting file was 643k.
This is starting to make sense
