Hi, I have submitted this question once, but because it
perhaps wasn't clear, the answer quite didn't fix the
problem. I have Outlook 2003. I do not have archive
folder listed in my "all mail folders side". I have been
through the tutorial and I do not know what else to do.
Matter of fact, in the tutorial, it shows Outlook having
3 main folders: Mail, Archive, & Personal. In my
outlook, there is just ONE and it's Personal. The inbox,
outbox, sent items, etc. are all in the Personal
folders. There is no "Mail" nor "Archive" folders.
Someone replied and said that I'd have to archive first
before it shows. I have done this. Matter of fact, when
I archive nothing seems to happen. No emails are moved.
I have went into options and requested that archving
folders should be in the folder list, but no luck.

Any help would be GREATLY appreciated. I'm not sure if
this is an install issue or what. Why would it be under
personal folders?? Hmm.

The Archive .PST file will not necessarily show up in your Folder List all
the time. You can set it to always show if you like it that way; if not, it
will only show during the AutoArchive process or if you manually open the
file using File | Open | Outlook Data File. The Archive.pst file doesn't
need to be opened in the Folder List before the AutoArchive process begins.

To troubleshoot your problem, first go to Tools | Options | Other |
AutoArchive and see what file the archived items are actually supposed to be
going to. (Note that this may not be the only archive file if you have
changed the settings for AutoArchive on individual folders.) Once you've
found the path to the archive file, search for it -- if you're using Windows
2000 or XP, make sure you have enabled searching in hidden and system
folders, as .PST files typically end up in those types of folders. If
AutoArchive has run even once, the file should exist, even if no data has
been put into it yet (the folder structure was probably created).

If all that checks out, then you need to look at the reason the data is not
being archived. Check the Modified date on the items that aren't being
archived as you think they should. That's the date Outlook uses to
determine whether or not an item is ready to be AutoArchived, and a simple
action such as moving the item to another folder can change the Modified
date. More information and a list of actions that change the Modified date
can be found here:

Is there any way to switch off this reliance on the modified field?

This behaviour completely destroys the usefulness of the archive
feature as you cannot just "archive mails I received more than 6
months ago" as you could if it just used the sent or received fields,
but instead archive now depends on things such as "when did I last
connect to this mailbox" and "when did I last move this mail to
another folder", none of which are common things users want to
consider.

Unfortunately, there's no way to change the Archive feature's reliance on
the modified date. You'd need to move items to the archive file manually if
you didn't want to wait for them to be AutoArchived, or for the modified
date to fit the Archive date criteria if you use the File | Archive command.
