Archive File Size

Ding Bat

Exchange 2000SP4/Outlook 2002 SP2. Is it possible to have more than one
Archive file? Say archive1,2, etc? I have a users whose archive will
exceed the 1.8GB pst file size limit. Will both be visible in Outlook
Folder List?
 
Ah, but I still only see one Archive even though I have archived to
archive1.pst & archive2.pst.

Works a treat except that when I open the archive they are apparently empty
even though the pst files are a couple of hundred MB in size and the archive
process looked like it was running and it was sure giving the server a
caning (bit scary). What do you reckon?

can't tell from here - have a search for all .pst files (hidden ones too).

check your autoarchive settings.

Hi Judy,

I had a closer look and the folders in question did, in fact, archive. It's
just that this user has created an humungous folder structure to organise
his over 3Gb of *really important* email and has never archived, ever! Lots
of folders had 0 items in them but drilling down revealed content. Did I
mention he is also the CEO so normal user policies are out the window? He is
also self-confessed dinosaur in matters IT and proud of it.

What is definitely not happening is the archiving of his Sent Items folder.
I select Sent Items in the Archive dialog. Select items older than, say, 30
June 2005. Select Archive the folder and sub folders, include items with "do
not archive" checked. And create a file called "30-06-05 sent items.pst"
in the default folder and OK. Creates a file of that name in the folder
which is only 64kb in size and has nothing in it (really).

Have I been scuttled by the dread "modified date"? It looks like it! Is
there a way around this?

This doesn't seem reasonable to me. An archive should contain items in
which you've shown no interest (i.e., haven't referenced) in a particular
period of time. Opening, moving, or otherwise manipulating a message, no
matter how long ago it was created, indicates that the message contains
information relevent to the present. Thus, the modified date seems the only
reasonable measure of whether or not a message should be archived _by
automatic means_. Archiving by other dates via an automatic process
couldn't help but include items recently referenced that, potentially, are
of current interest. unless every single item had a new attribute diabling
archiving for that item, which would be an administrative nightmare. People
would set it, forget it was set and then, months later wonder why items
weren't being archived, just as they do now, only finding the reason would
be much more problematic due to the number of items that would have to be
examined individually. I just don't see this as viable.
 
Rubbish. What about when messages have been just moved and nothing else?
This can happen accidentally or on purpose but it is a pain in the ass if
you want archive based on when an item was sent, received or whatever. How
difficult would it be to provide this functionality?

If you've moved it, you've shown interest in it. However, moving it does
not necessarily update the modification date. When the destination is a PST
folder, the date doesn't change. Only if the destination is an Exchange
folder or an offline folder (OST) does it change.

And, as I said, to make what you're suggesting truly appropriate, the
ability to choose the date autoarchiving would use would have specifyable to
be on a per-item basis. Just because you _say_ this is rubbish doesn't make
it so.
