Microsoft Outlook 2003 local rules with Exchange???

Guest

Hi!

I have a little problem:

I work with Outlook 2003 and an Exchange 2003 Server.
On an Exchange Server exists a rule limitation.
For this reason I need a plug in for Outlook to sort all my emails in
special folders.

Or does anyone knows how I can save my rules local and not on the Exchange
Server?

On the Conditions step of the Wizard rules you can select it to perform the
rule only on the local system.

Create a new rule (blank one, not from template). At step one you can add a
condition; on this machine only. I believe this one is at the bottom of the
list for all languages of Outlook.

I have again a problem:

After I creat 29 (client-only) rules like:

'Apply this rule after the message arrives from (e-mail address removed) and on
this machine only move it to the Forum folder'

I get this message:

'One or more rules could not be upload to the Exchange server and have
been deactivated. This could be because some parameters are not supported or
there is insufficient space to store all of your rules'

why try Outlook to udate this rules on the Exchange server when I creat
client side rules only???

I believe there is none (not intentially). Exchange rules are limited to
32KB.

Because the rule is still stored on the Exchange server. The rule only
applies when the Outlook client is active. If you create a pst-file locally
and set it as your default mail delivery location (Outlook Today folder) the
rules will be stored in the pst-file but the mail won't be stored on the
Exchange server anymore either.

Just wondering; 29 mailrules??? Are you sure this is the eassiest way to
manage your e-mail? :-S

Create a new pst-file (File-> New-> Outlook Data File) and then go to
Tools-> E-mail Accounts. Press Next and at the bottom you can set Deliver
new e-mails to the following location. Set it to the pst-file and it will
show up as the Outlook Today folder.

Exchange will now deliver your mails in your pst-file removing them from the
server.

You can only have 32K worth of rules totally. Each rule you have takes
a certain amount of space and the more text there is in a rule the
more space it uses. Rules that test a number of recipients also use
more space.

Outlook 2003 rules use Unicode for text, unlike other versions of
Outlook, which used ANSI for text. So rules that use text in Outlook
2003 take up roughly 2x the amount of space they would in earlier
versions of Outlook.

End result, fewer rules in Outlook 2003 than earlier versions. The
only alternatives are to create fewer rules, deactivate some you have
(inactive rules don't count against the 32K limit), rewrite some of
your rules as client-side VBA code or COM addins or as server-side
folder event scripts or event sinks.

Hi!

thats sucks :( ....

are the 32K limits only on the server side or also on the client side when
you work without an exchange server?
I thin´k microsoft should change the limitation as soon as possible ;)

to this point:

(inactive rules don't count against the 32K limit), rewrite some of
your rules as client-side VBA code or COM addins or as server-side
folder event scripts or event sinks.

- must I use VBA? or can I use C# ?
- where I can find some code sample how to write this?
- or is anywhere a free addon for outlook available that make this things???

ohhh.. and please tell me what are event sinks??

best regards,

gicio

32K total limit. That's it. We've complained to MS about this limit
since the Outlook 98 beta but unless they completely rewrite how rules
are stored and the MAPI mechanism used for them nothing will change.
I'd say the only chance of a change will be when the data store moves
to a SQL server based setup in the Yukon time-frame.

You can't write an Outlook macro in anything other than VBA code. COM
addins can be written in VB 6, Delphi, C#, VB.NET and other languages.
For information to get you started on COM addins see the Resources
page at www.microeye.com and the Developer section at
www.slipstick.com

Event sinks are code that runs on the Exchange server. For Exchange
5.5 or earlier you use a folder script written in VBScript that
handles events asynchronously. For Exchange 2000 and later you can do
that or run synchronous event handler code that can be a COM
application. There's information about event sinks at Slipstick but
since they run on the server most admins won't permit them since they
would be running on a critical server.
