From the calendar, go to intended date, double-click desired meeting, select
"Open this occurrence" of a recurring meeting. Select Forward from the Actions pulldown menu, select "Send this occurrence" and OK. Type in the name(s) you wish to send the single meeting instance to [note: it should be a blank TO: field by default, if not, replace any existing names with the desired single instance recipients], perform a Check Names, then select Send. Recipient receives invites, accepts, and sends response. Acceptance response received by Organizer. Organizer opens response (seems to be required in order for the tracking information to get updated). Go back to the same instance of the recurring meeting used to send the occurrence, open meeting by selecting "Open this occurrence." Invitees name will appear in Distribution names for that instance. Close meeting and reopen same or other occurrence by selecting "Open the series" -- Invitees name(s) who were intended to receive only an occurrence are listed in the series distribution names -- UNDESIRABLE, as it makes them part of any updates made to the recurring meeting series. However, invitee received only the one occurrence and only the one instance is present on their calendar -- DESIRABLE. << This appears to be a bug, in my opinion, and not just a "feature". >> Now, a workaround to the "intended" process is to open the occurrence of the only meeting instance you wish the invitees to attend (and not end up as part of the series distribution), add any names in the TO: field you want to send just the occurrence to and perform a Check Names, select Save and Close, then select "Send updates only to added or deleted attendees" and OK. Go back to the same instance of the recurring meeting used to send the occurrence, open meeting by selecting "Open this occurrence." Invitees name will appear in Distribution names for that instance. Close meeting and reopen same or other occurrence by selecting "Open the series" -- Invitees name(s) who were intended to receive only an occurrence are NOT listed in the series distribution names -- DESIRABLE. I have not been able to locate any articles or posts that detail this behavior. Please advise. |
