I always have to press the send receive button to get my email messages. This
is very inconvenient when people send me messages that demand my urgent
attention. I am not sure how to answer the question about version. I am using
Microsoft office 2003, Windows XP.

pop or exchange connection?
If pop mail, setting a polling interval for less than 10 mins can cause
problems.
Coupled with that for pop mail, email is not an instant communications media
a transmission is considered successfull if it is received within, I believe
72 hours.
Instant comms is provided by phone or fax
