You can use the method I indicated or you enable AutoArchive and configure
your Sent Items folder to archive.
That said, a company policy is a company policy. If they think they should
only keep 3 weeks worth of Sent Items, why go against it with workarounds?
If this creates an unworkable situation for you, you should tell your
manager and a better solution (read: company policy) should be found.
Also considering mail compliancy and legal matters, they might want to
consider using a server-side archiving solution instead to keep things
centrally managed.
