I use multiple computers in my office and use a laptop and notebook away from
the office. Is there a way to download and synchronise the e-mail and
contacts (I use outlook) between computers. I can never find messages and
replies when I need them and want to file them one time.

Do you log onto a domain at work? Do they permit roaming profiles? Ask
your company's IT folks about roaming profiles. Does your company use
Exchange as their e-mail server?

Does your company permit external access to their Exchange or other type of
mail server? Do they require you install some VPN software of their choice
so you can establish a connection to their network so you can look like you
are their network when connecting to their mail server? Does your company
use OWA (Outlook Web Access) with their Exchange server and that's how they
permit external access to their mail server?

Depends on what type of access you are granted to the mail server. Could be
POP, IMAP, HTTP/Deltasync, Exchange (with or without VPN) or OWA. Ask your
Exchange admin folks what methods of external access they permit and have
setup.

If using POP, configure the e-mail accounts defined within Outlook to "leave
messages on server". Then after you retrieve an e-mail using one host, it
will still be there to collect into an e-mail client on a different host.
Since you are leaving messages on the mail server, it will be up to you to
periodically use the webmail interface to your account to clean out the old
e-mails to prevent consuming the disk quota for your account.
Alternatively, you can use the "delete e-mails N days after retrieving them"
option to have your e-mail client automatically clean out your mailbox. The
messages will be left on the mail server for the number of days that you
configured so other e-mail client will have an opportunity of also
retrieving those same e-mail but eventually they get deleted to prevent your
mailbox from filling up.

If using IMAP, that synchronization is already taken care of by that e-mail
protocol.

See why giving details helps? It eliminates having to make a bunch of
guesses as to how you are connecting to the mail server and for what type of
access. The mail admin at your company should know everything about how to
provide roaming and external access to the company's mail server.
