how can i set up a note in my mail that i am on vacation ?

i would like to add an instant note in my outlook mail that indicates that i
am on vacation?

Depends. If you connect to Exchange Server (and you have given us NO
information about your Outlook set-up at all), then you can use the Out of
Office Assistant.
If you have any other type of email account then the best way is to see if
your Mail Provider has an "On Vacation" function in their webmail. Many do
these days.
If they don't, then there's not really any easy answer for this.

Best is to use an auto-responder feature on the mail server. You enable
it up on your account and enter what text you want to deliver as your
"away" response. If a server-side auto-responder is not available, you
can define a rule in Outlook to reply to all incoming e-mails but then
you need to have:

- Your computer must remain powered up all the time while you are away.
- You will need a large UPS to keep your computer up during power
outages.
- Windows must be running.
- You will need to leave your computer logged under your normal login
account. You can use a password-protected screen saver to prevent
someone from casually walking up to your computer and using it however
they want.
- You will need to leave Outlook running (so it can exercise its rules).
- You need to define a rule that sends a reply to every incoming
e-mails. That means also responding to all spam and phish e-mails.
- Outlook will error during a mail session if there is a network outage
during transmission, and it has no recovery to resend your reply.
Outlook is not a mail server that incorporates send recovery.

Outlook makes a flaky substitute for a mail server. Your host isn't a
server OS. It is likely you have a consumer-grade hardware, OS, and
network configuration which is not designed for the reliability,
robustness, and recoverability for mail server hosts.
