Autotext drop-down problems

When choosing "Insert" / Autotext / I see:
Autotext.....
AttentionLine>
Closing >
Header/Footer >
etc.

However, my suitemate opens her autotext, she only sees:
AutoText.... and nothing else.

We both have Word 2003. What's different in our settings?

Are you saying that she sees no AutoText entries at all or just sees some
entries (and no categories)? The cause of the former is usually that a
document or template has been saved as Normal.dot. The latter will be the
case if you use Insert | AutoText with the insertion point in a style that
has associated AutoText entries. For example, in the header or footer, the
AutoText menu will show only the entries for the Header and Footer style.

Autotext dropdowns are context-sensitive where the context is (a) the style
at the insertion point and (b) the autotexts in one or more open templates.
The two of you probably have differents contexts - I do accept, however,
that it can sometimes be very difficult to understand,

Does your suitemate (whatever that means) actually have the autotexts at all
or have they possibly been deleted? Do they show in the AutoText Dialog
(Insert > AutoText > AutoText)?

Hi Suzanne -

Microsoft has obviously written these "categories???" into the program
(macros maybe). I see them/she doesn't. In fact, there are 6 of us in a
secretarial pool/suite. Some of us have the categories and some don't. This
happens even if they open normal.dot (new document). They wouldn't begin to
know how to change their normal.dot so I don't think that's the problem.

Tony -

Suitemate (meaning I work in a secretarial pool and we all sit across from
each other in a "suite").

The autotext entries in the drop-down appears to be Microsoft macros
included in the programming (i.e. attention line; closing; salutation; etc.).
I did not create these autotext.

There are actually 6 of us in the "suite". 3 of us see the autotext and the
remainder
don't. In all instances, we are looking at normal.dot.

Regardless of whether they know how, as Suzanne suggested, it sounds
like someone may have saved a Word document as Normal.dot which will
cause AutoText entries to disappear since they are stored in
Normal.dot. We've seen this issue many many times here so we do know
what the problem is. :-)

Exit Word, locate Normal.dot and change the name to OldNormal.dot.
Word will create a new Normal.dot when it starts.

To located Normal.dot go to Tools/Options/File Locations and it will
be in the same location as your User Templates folder.
