In View/header&footer/auto text there should occur a drop down menu
permitting various items to be inserted. In my case all that comes up is a
little grey square instead of a drop down menu. How do i recover the menu?

Try renaming the Normal.dot template to Normal.old and then re-start Word so
that it creates a new Normal.dot template that will contain the default
autotext entries.

The usual reason for this is that you have saved a document or template as
Normal.dot.
