Archiving Email Office 2003

      13th Feb 2008
I want to archive users email. We have some users that are getting to 10Gb
mailboxes. I want to archive and was looking for suggestions besides the
normal archive via pst in outlook? Does MS have any suggestions?

also can you combine PST's? Or would I have to import one on top of another?

You can combine pst's, by having them both open in OL & copying from one to
the other
Importing / Exporting native OL data can cause problems

Whats wrong with Archiveing?

If the people have mailboxes, you must be using Exchange. Exchange should
have retention settings you can adjust and mailbox export tools. Ask in
microsoft.public.exchange.admin

Hi SJMP,

From Outlook side, I believe that the Auto-Archive feature is the good choice to reduce the mailbox size. Following is the detail steps.

In Outlook, click Tools > Options.
In the Other tab, click AutoArchive. Set the AutoArchive settings properly.
Click Ok, Ok.

Or you can create a new Outlook data file and then manually move the old items to the new Outlook data file. Following is the detail
steps.

Click the File menu > New > Outlook Data File.
Choose a file type and click OK. Name it as MailboxBackup2007.pst or other names that you like. Name the folder name. Click OK.
You will find the new folder in the folder list. Right click it and choose New Folder to create several subfolders to store the items for
your mailbox (such as Inbox, Sent Items).
Move the items from the mailbox folder to this folder to reduce the mailbox size.

For the question about combing PSTs, except the Import/Export feature, you can click File > Open > Outlook Data File to open both PST
files in Outlook. And then move the items between the PSTs to combine it.
