Adding blank editable columns to received emails?

Scenario: our office has a general email dump for forms listing a ship name,
arrival port, date of arrival, etc, etc.

Unfortunately, these forms can be sent in a variety of formats: Excel, Word,
..pdf, .bmp, .jpg - either embedded or as attachments. The subject field is
also non-standardized entries and is left up to the discretion of the sender.

I know I can edit the subject field on a received email in my inbox. What
I've been doing is opening the email and, once I've printed off the form, I
edit the subject field by inserting only the ship's name.

I've discovered that I can highlight the inbox contents and drag it over to
an Excel spreadsheet and the inbox columns are retained. In this way, I can
sort the ship's names and get rid of columns I don't actually need.

But I then have to go back to the printed form and enter on the spreadsheet
the port of arrival and date of arrival.

What I would *like* to do is to be able to add a 'port' field and 'date of
arrival' field directly in Outlook's inbox that I can fill out in a similar
way to editing the subject line. These fields would, naturally, not appear on
any actual incoming emails so the fields would have to originate in the inbox
itself.

It would save me *a lot* of time and effort and by having such a detailed
inbox, I could eliminate the Excel spreadsheet completely (or, at least, cut
down on editing it a whole lot).

Alternatively, maybe I can forward the email in my inbox back to myself
*with those editable fields* in the forwarded email that I can fill in before
I send it to myself?

Of course, I have no idea if this is possible :-)

Any suggestions would be greatly appreciated.
